Protocol of the Joint Board meeting of RAMA and RADA on 10/09/2005
I. Planning of 4th Conference - Issues needed to be addressed:

1. Next conference location: New York
Specifics are to be determined later. Possibilities are: Bronx, Manhattan, affiliation with NYU, using medical school housing and hotel, conference being held in hospital vs. hotel.
2. Dates: End of September. Columbus Day week-end is more likely not an option any more due to date conflicts with other specialty conferences. National and religious holidays need to be excluded.
3. Speakers: Proposed participants are: Nobel laureate, US Senator, Hilary Clinton, movie stars
4. Agenda
The ultimate goal is to make a preliminary agenda in 2 weeks. It is a necessary tool in planning and money raising campaign. Agenda can be very raw and can include tentative speakers, overlaps but needs to be arranged as early as possible.
5. Finances: Estimated budget for 4th Conference is $100,000
Present conference budget is $30,000
Membership fees RAMA: $10,000
Membership fees RADA: $7,000
Proposed fee for the upcoming conference $100 for members, $115 for non-members
Proposed increase in RAMA membership fees for residents. Alisher Dadabayev is to address this issue.
6. Reception:
The goal is to develop an effective admission procedure and plan the next reception considering problems with the present reception (underestimation of the participants’ number, shortage of chairs, meals and drinks, availability of resources to correct this problem timely and efficiently if it rises in the future).
7. First teleconference discussion is to be planned on October, 29, 2005. Due to impossibility of more than 10 people participation at the same time it was proposed to hold separate discussions between R-ADA and R-AMA committees and then conduct a joint conference with number of representatives limited to 10 total from both sides. Plan is to limit the discussion to 1 hour.
8. Preliminary Board visit to NY is to be planned on April, 2005
9. Black tie fund raising dinner needs to be arranged with the participation of Board members.
10. Fund raising concert with Russian artist is planned by RADA.
11. List serve, follow up e-mails, means of communication between participants.
12. Scientific chairman of the conference should be elected

II. RAMA membership
1. Revise of the membership qualification for RAMA. People with Russian roots, Americans sharing the ideas, medical and pre-med students of Russian heritage should be allowed to become members.
2. Honorary members: (goals and functions are recruiting more people for RAMA, attracting public attention). One of the possibilities is to provide a time for them to speak during lunch at the upcoming conference and local chapters meetings.
3. Possible additions to the existing chapters: chapter of chiropractors, chapter of registered nurses, premed students’ chapter.
4. Associate membership: paid membership $200-$2000, renewable every year.
5. Functioning of the local chapters: some kind of report is necessary. The allocation of dues between R-AMA and such local chapter is 50% to the Association and 50% to the local chapter. Opportunity to pay only local membership fees should be available.
6. Establishing of a database of Medical missions to Russia: mean of recruiting more members for RAMA.
7. Konstantin Slavin is proposed to be a membership coordinator.

III. Charity
1. Developing program of personal fellowships/awards. People interested in donating money to charitable projects and establishing their own grants and stipends are welcome to submit their proposals. They will be processed by RAMA for 10% administration fee.
2. Conference in Russia
3. Work with Russian speaking community
4. Breast cancer self-examination tape with a Russian recording developed by Lyuba Varticovski.

IV Miscellaneous
1 Insurance for the board
2. Insurance for the RAMA as organization
3. Establishing connection with Kaplan corporate center in San Diego: invitation for cooperation, opportunities to advertise at the RAMA conferences, possible 1% discount for Kaplan classes for RAMA members
4. Membership Benefits as listed by RADA: car rentals discounts, numerous solutions for businesses: life, disability income protection, long term care programs, national merchant solutions, on-site testing services, quest hotel saving program, discounted LTL shipping.
5. RAMA president re-instates his functions as administrative and fund raising primarily. Organization is a primary responsibility for RAMA Chairman.
6. Colors on logo signs need to be addressed.
7. RAMA and RADA will provide 50% and 50% discounts in their membership fees for people joining both organizations simultaneously.
8. Management for language services: RAMA approved translations to Russian as a service for hospitals.
9. Web-site should be up-dated with the names of current board members and their contact info.
10. Establishing of RAMA museum, RAMA library.
11. Everybody is welcome to use the forum. This powerful tool should not be underestimated.
